Requesting Donations By Letter

When soliciting donations for your nonprofit organization it is a good idea to start with a letter to the potential donor. A letter can be the first step in asking for a donation and can be less forward than asking in person. Of course, you can do both but a letter is a great start. Look at samples of letters to get an idea of what you want to include in the type of letter you are planning on writing.

There are key components to keep in mind when writing a letter:

  • The introduction should introduce who you are and what you asking for.
  • Next, include how the donation will help the organization.
  • Finally, be sure to include the next step for the potential donor to take. How you would like the donor to send in the donation or if it is something that you will need to pick up from them.
  • Be sure to include your contact information and anything else you feel is pertinent.
  • Always print the letter on your organization’s letterhead so that the donor knows it is legitimate.

Types of Donations

Donations can be monetary or they can be something that may be used to help with a fundraising event. For example, some fundraisers hold auctions along with a dinner. Donors may be asked to contribute a specific item to be used as part of the auction. If it is a monetary donation, you may want to give details of the benefit of giving at specific levels. For example, all donors will be listed in the organization’s program or donors who give at the $1,000 level will get their name listed on a plaque, etc.

  • Annual appeal
  • Fundraisers
  • Specific programs

In order to ensure the success of this very important fundraiser, we are seeking contributions to help defray the costs associated with event. All proceeds from this event enhance our ability to provide our community with valuable services.

Generous donors like you are the key to our organization’s success. We hope that we can count on your support to help us with our mission. Your donation will be listed in our event program. Please mail your donation to "address goes here" or call "phone number goes here" to pledge your support. We thank you for your time and consideration.

Other Considerations

Include a form if requesting a donation for an event. The donor can fill out information such as their contact information, the donation and the value of the donation. If asking for a monetary donation, be sure to include a return envelope. Remember once you get your donation, always send a thank you letter to the donor. Donors are an important part of any nonprofit organization and it is critical to let donors know how much they are appreciated.
