Samples of "Thank You Letter" for Donations You've Received

There are several ways to thank your donors and in fact, the goal should generally be to cultivate an ongoing relationship with them. Therefore, you should be prepared for an ongoing "thank you letter" writing campaign. Below is listed several samples and ideas for writing thank you letters to your donors.

The Initial Thank You Letter

The initial thank you letter should be sent as soon as you receive a donation. The basic anatomy should follow these points:

  • Re-state your vision or mission statement
  • Thank the donor for their generous contribution.
  • Remind them how their contribution will be used--make it personal if you can.
  • End by leaving the door open for future opportunities to connect.

Dear Donor (always write the donor's name),

At Riverside Children's Hospital, it's about caring for critically ill children, one child at a time. Your incredibly generous donation of $______ will help kids all over the Riverside area get life saving medical treatment when they otherwise wouldn't be able to afford it. At Riverside, we don't turn anyone away because of their inability to pay. We, the staff at Riverside, want to say thank you on behalf of the hundreds of children you will have helped with your contribution.

We've managed the unimaginable: to create a team of highly specialized doctors and medical staff that will work pro-bono. Every dollar you donate goes to help kids like Katey. Katey has neuroblastoma. But thanks to your generous donation, and the donations of others--Katey is in remission and we expect her to make a full recovery.

We look forward to working with you in the future. We at Riverside thank you. More importantly, the children thank you. And that's really who it's all about.

The Holiday Thank You

The holiday thank you card serves several purposes. First, it can serve as a means of handing out your 501 (c) (3) financial information or at least letting your donors know where they can get it. Secondly, it can serve as a means to tout your accomplishments and goals--keeping a line of communication open with your donors. Finally, it can also serve as a means of handing out needed tax information for deduction purposes to your donors. You can really create any kind of holiday card however, you should make a point to either include pictures of what you're doing, or feature the artwork of the people you serve. The idea is to put a personal face on that money. The holiday card should include:

  • A personal message (see below)
  • Tax deduction information (better to include separately)
  • Financial statements or annual statements if applicable (better to include separately)
  • What you accomplished this year, and a brief snapshot of your goals next year--be careful to note how your donor helped you achieve those goals.
